Our client, a top bank in Canada is looking to hire an Executive Assistant for VP with a contract of 1 month which is renewable. This role 2-3 days a week in the office for their Toronto office.
  • Support for Meeting and Calendar Management
  • Promptly respond to and accept meeting requests within 1 business day.
  • Schedule meetings as requested, ensuring completion within 1-2 business days.
  • Track attendee responses and update meeting invitations as necessary.
  • Accurately manage meeting details, including attendee lists, agenda items, and attachments, based on the provided direction.
  • Proactively identify and resolve scheduling conflicts to ensure seamless coordination.
  • Notify the VP of significant updates, such as changes to key dates, notable attendees, or critical agenda items.
  • Arrange for meeting coverage if the VP is unavailable, providing clear communication regarding delegation or coverage.
  • Regularly review upcoming meetings to identify preparation needs, confirm attendee participation, and highlight unique logistical considerations.
  • Anticipate opportunities to consolidate meetings based on travel or in-office availability.
  • Keep shared calendars updated for the VP and management team, reflecting absences, travel plans, or location details.
  • Expense and Travel Management: Provide support with expense tracking and travel arrangements as required.

Must have skills:
  • Degree in Accounting/Finance or a business degree
  • Intermediate/advanced knowledge of MS Office (Excel, Word, PowerPoint).
  • 5+ years' experience as an EA (managing calendars).

Nice to have skills:
  • Previous financial industry exp
