- Support for Meeting and Calendar Management
- Promptly respond to and accept meeting requests within 1 business day.
- Schedule meetings as requested, ensuring completion within 1-2 business days.
- Track attendee responses and update meeting invitations as necessary.
- Accurately manage meeting details, including attendee lists, agenda items, and attachments, based on the provided direction.
- Proactively identify and resolve scheduling conflicts to ensure seamless coordination.
- Notify the VP of significant updates, such as changes to key dates, notable attendees, or critical agenda items.
- Arrange for meeting coverage if the VP is unavailable, providing clear communication regarding delegation or coverage.
- Regularly review upcoming meetings to identify preparation needs, confirm attendee participation, and highlight unique logistical considerations.
- Anticipate opportunities to consolidate meetings based on travel or in-office availability.
- Keep shared calendars updated for the VP and management team, reflecting absences, travel plans, or location details.
- Expense and Travel Management: Provide support with expense tracking and travel arrangements as required.
Must have skills:
- Degree in Accounting/Finance or a business degree
- Intermediate/advanced knowledge of MS Office (Excel, Word, PowerPoint).
- 5+ years' experience as an EA (managing calendars).
