This is a hybrid role with onsite presence aligned to leadership schedules (typically Wednesday or Thursday) at a downtown Toronto office. The role supports senior leaders with day-to-day administrative operations in a fast-paced, high-visibility environment.
Key Responsibilities
o Manage complex executive calendars, including scheduling meetings and prioritizing activities
o Coordinate meetings, prepare agendas, book rooms, and arrange required resources
o Handle travel arrangements and manage expense reporting and invoice processing
o Prepare correspondence, presentations, reports, and meeting materials
o Support leadership meetings by organizing agendas, taking minutes, and tracking follow-ups
o Provide administrative support including onboarding/offboarding coordination and system access requests
o Assist in preparation of team presentations, reports, and event materials
o Act as a delegate for executives on administrative systems and approvals as required
o Maintain organization, confidentiality, and efficiency across all administrative processes
Must-Have Requirements
o 3-5 years of experience as an Executive Assistant supporting senior leaders
o Strong experience with calendar management in a fast-paced environment
o Experience with travel coordination and expense reporting
o Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
o Strong organizational and multitasking skills
Nice-to-Have
o Experience within large enterprise or financial services environments
o Familiarity with tools such as Workday or Coupa
o Experience supporting senior leadership teams or executives
