Title: Asset Coordinator

Location: Downtown, Toronto
Work Schedule: M-F 40hrs/week

A critical role within the Support Hub, this ON-SITE ROLE is responsible for employee asset management relating to THE SITE. This role is key to the overall onboarding experience, ensuring employees are set up with their work devices, handling receipt and inventory of devices, and tracking procurement related to employee devices.

Ideally, this candidate will have technical knowledge or is keen to learn and become technically proficient on the job. Must be able to lift 15k/30lbs.

Asset Management
  • Receive orders from mailroom
  • Tag and complete COR (Confirmation of Receipt) on all capital assets
  • Approve invoices upon receipt
  • Manage and track deployment of all assets (cap and non-cap) by team
  • Maintain and monitor lab space to support remote workers
  • Provide reports as requested
Onboarding & Offboarding Support
  • Partner with supplier and client's tech support, ensuring all hardware meets compliance standards
  • Manage hardware deployment to new hires, ensuring devices are properly configured
  • Liaise with hiring teams and Support Hub on special requests
  • Manage all related tasks via email, chat, and ticketing systems
  • Manage the collection and proper storage of assets once employees have offboarded
Procurement Handling
  • Receive purchase requests
  • Process and submit POs for approval
  • Coordinate to track and audit team inventory
  • Detail-oriented and accountable for tracking missing items
  • Provide reports as requested
Additional support / requirements:
  • Co-manage the Support Hub Mailbox and ticketing systems end to end
  • Cross-train on other team roles & responsibilities
  • Coordinate E-Waste Program and Loaner Program for the site
Must possess the following:
  • 3+ years relevant experience
  • Demonstrates strong commitment to meeting the needs of the business
  • Experience working diverse teams and collaborating with a technical workforce
  • Strong problem-solving skills, attention to detail and exceptional follow-through
  • Ability to effectively prioritize and multiple tasks and work independently
  • Proficiency in Microsoft Office
  • Experience with ticketing systems (JIRA, ServiceNow, etc) preferred
