Program Management Support & Scope

The Program Manager is a resource to help the virtual team execute a focused Country Plan effectively. The Program Manager is meant to take on working related to orchestration for the Pillar & Functional leads to free up bandwidth that can be applied towards plan execution. This is a shared resource for the team.

 

Program Manager Responsibilities

The following are the core responsibilities of the Program Manager:

Support the initiative lead in running the Pillar and Functional lead meetings. This includes oversight of scheduling, gaining alignment on meeting agendas, communication of the agenda and supporting Pillar & Functional lead with related prep. Support Pillar leads in running their pillar v-team meetings. This includes oversight of scheduling, gaining alignment on meeting agendas, communication of the agenda. Capturing actions in all meetings run by the initiative lead, the Pillar leads & Functional Leads, maintaining a central log of all actions & driving timely closure of all actions. Owning the initiative's marketing budget and working with the v-team to ensure spend occurs on time and in a compliant manner. This includes capturing all elements of the marketing budget, comparing spend VS budget and ensuring that we have the appropriate metrics in place to measure ROMI. Close partnership with the Investment Controller is key to ensuring that the local Finance team is aligned to spend timing, amounts and ROMI. Overseeing the initiative's marketing budget also includes providing visibility to the initiative Lead and Pillar Leads on the state of the marketing budget to the virtual team, surfacing risks related to over and under spend in time to working with the v-team to course correct. Being present in all pillar v-team working sessions to support the pillar lead and most importantly drive synergies within each pillar plan, surface areas of conflict within pillars and work with the teams to determine an efficient path forward. Tracking impact within each pillar and ensuring that Pillar goals (as measured by the KPIs) are being met. Internal comms - pulling together the content for the quarterly initiative QBC slide and the internal quarterly initiative newsletter for the sub. Ownership & maintenance of the AICP Teams site.

 

Program Manager Requirements

  • Bachelor's degree or master degree in business or related field.
  • Solid task and meeting orchestration skills.
  • Ability to work and collaborate with VPs and senior Directors.
  • Ability to take good meeting minutes and follow-up with teams on actions.
  • Track and manage marketing budget across all the teams.
  • PROACTIVENESS is the key to success for this role.
  • Proven experience in program management.
  • Proven stakeholder management skills.
  • Proven experience managing a direct or indirect team.
  • Experience using computers for a variety of tasks.
  • Competency in Microsoft applications including Word, Excel, and Outlook.
  • Understanding of project management.
