Financial Administrative Assistant/Secretary (Part Time)
The Administrative Assistant/Secretary position to provide financial and support services to the pastor, elders, trustees, treasurer and ministries and also serve as the Pastor’s secretary. The incumbent will be required to report for duty at the church, adhering to a time schedule outlined by the board of trustees. The incumbent is responsible to address the day to day activities of the church as described below.
Duties and ResponsibilitiesAnswering telephone, e-mail, voice mail, handling inquires, route messages to appropriate persons within the church and follow-up; managing online & phone requests to attend Sunday services during the Covid-19 reopening Process all church account payable, including all church bills, payroll reimbursement, contributions and purchases. Process and review of all church accounts receivable income (data entry of all membership contributions into computer servant keeper and quick books) Process and review of bank statements and update computer for monthly reconciliation’s Process, review and file bank statements of (1) monthly payroll tax (2) monthly bank checking and saving accounts. Process, review and file all return checks and credit/debit statements; make the necessary adjustment/correction into the computer servant keeper and quick books to membership accounts and bank statement account Provide financial reports for treasurer, trustees, and all church ministries as requested Provide report to membership on individual contributions as requested Work closely with the treasurer, trustees and finance committee to provide monthly reconciliation report for all ministries. (Treasurer reports to joint board) Support treasurer, trustees and ministry heads on yearly budget process, including budget submission forms and reports, and YTD report Order and maintain adequate office supplies as directed, maintaining records of items purchased, received, and match invoices to proper order Maintain the church roster and update records on active, inactive, new members, visitors, coordinated with deaconate chairperson Prepare year end contribution statements and staff W2’s and 1099’s Maintain office filing system Perform administrative duties for church ministries and committees as requested Serve as the Pastor Secretary Set up and maintain a ticker file for the pastor to early warn of future events or actions to be taken Schedule appointments for pastor and his staff Notification of wedding coordinator Notification of pastor and staff of bereavements and prepare resolutions Distribute notices of meetings. Perform other duties as assigned
The Financial Administrative Assistant/Secretary will work under the general supervision of the Overseer or his designate, exercising independent judgement in handling financial matters and support. The incumbent will support the Pastor at his request and may be required to report to other officers of the church on tasks they assigned.
